Client intake

From first enquiry to an open file

The enquiry arrives, the assistant answers it, and what you keep is a case file with the conversation attached. No retyping, no lost leads in an inbox.

Intake is where practices lose money quietly. An enquiry arrives at nine at night, someone answers it two days later, the details are in an email thread, and the same answers get typed again when the file opens. Multiply that by a week of enquiries.

Meridian treats intake as the first part of the case, not as marketing.

How it runs

1. The enquiry answers itself

The assistant on your website answers general questions from current IRCC sources, with citations, in more than thirty languages. It is your firm branding, not ours. Every conversation is captured with the visitor details and the intent behind the question.

2. You read the conversation before you speak

Every enquiry lands with the visitor's own words and contact details, so the first call starts informed. To check a score or which program fits, use IRCC's official tools on canada.ca: the CRS tool and Come to Canada.

3. You decide, then it becomes a file

Convert the prospect and the case file opens with the conversation, the answers and the contact details already on it, plus the document checklist for the program you picked.

4. The client starts working

Document requests go out, the client uploads through the portal from a phone, and what is still missing is visible at a glance instead of living in your head.

What it does not do

Nothing here replaces your judgement. The assistant does not decide whether to take a client, it does not give advice, and it tells visitors plainly that it is automated and that a licensed representative reviews the work.

What it removes is the hour a day spent answering the same six questions and copying details from an email into a form.

What lands on the prospect record

Nothing has to be retyped, because everything the visitor already told you is attached.

  • The full conversation, word for word, with the sources the assistant cited.
  • Contact details, and the language the person actually wrote in.
  • The background they gave: age, education, work experience and family situation.
  • The page they were reading when they started, so you know what brought them in.
  • A timestamp, which matters more than firms expect when two people claim the same referral.

Why intake decides the month

Most firms lose more revenue to slow first replies than to anything else in the practice. The enquiry that waits two days for an answer has usually been answered by somebody else by then.

An assistant that answers at eleven at night is not a gimmick. It is the difference between a person who books a consult and a person who does not. Your part of the job, the judgement and the strategy, has not changed at all. The waiting has.

This also gives you something firms rarely have: a record of what people actually ask before they call. Read a month of conversations and you will know which page on your website to rewrite.

Questions people ask

Where do the enquiries come from?

Wherever you already get them. The website assistant captures the ones that arrive on your site with the whole conversation attached, and anything that comes by phone or email can be entered as a prospect in a few seconds.

Does the assistant give immigration advice?

No. It answers general questions from current IRCC sources with citations, and it never assesses eligibility. Advice is yours to give. Every conversation is visible to you and the disclosure about automated answers is on the widget.

How does a prospect become a case?

One action. The conversation, the answers and the contact details move onto a case file, and the document checklist for the program comes with it, so nothing is retyped.

Can we screen before we spend an hour on a consult?

You read the whole conversation first, so you know what the person asked before you book, and a consult is a consult rather than a triage call. To check a score or which program fits, use IRCC's official tools on canada.ca: the CRS tool and Come to Canada.

Is the website assistant metered?

No. The website intake assistant is unmetered on every paid plan. The AI conversations counted on your plan are the ones your team has inside the system.
